About the Role

Are you the person who keeps everything and everyone running smoothly? WeRemoto connects top remote talent across Latin America with U.S.-based executives, founders, and business owners, and we're hiring Executive Assistants to become their trusted right hand.

We currently have multiple roles of this type open with different clients, in both Full-Time and Part-Time schedules, and across a variety of industries from travel and hospitality to professional services and beyond. Specifics such as tools, hours, and day-to-day focus vary depending on the client. Our recruiters will walk you through the details of each opportunity during the process.

This is the perfect role for professionals who love organization, attention to detail, and high-level administrative work. You'll be the organized force behind a busy executive: managing their calendar, inbox, and priorities, anticipating needs before they arise, and handling the operational details that free them to focus on what matters most. If you take pride in being proactive, discreet, and one step ahead, this role was made for you.

Key Responsibilities

Executive and Administrative Support: Serve as a trusted partner to C-level executives, founders, or business owners. Responsibilities may include:

  • Managing complex calendars, scheduling meetings, and protecting the executive's time
  • Handling inbox management, drafting, prioritizing, and responding to communications on their behalf
  • Coordinating travel arrangements, including flights, accommodations, and itineraries
  • Preparing meeting agendas, notes, and follow-ups, and tracking action items to completion
  • Acting as a liaison between the executive and internal teams, clients, and external partners

Operations and Project Coordination:

  • Supporting special projects from planning through execution
  • Conducting research and preparing summaries, reports, or presentations
  • Managing documents and files in shared systems such as Google Drive or OneDrive
  • Tracking tasks and deadlines in project management tools
  • Assisting with light bookkeeping, expense reports, or invoicing when needed

Personal and Concierge Support:

  • Assisting with personal errands and appointments for the executive when required
  • Handling concierge-style requests, such as reservations, gifts, and event coordination
  • Maintaining confidentiality and discretion with sensitive personal and business information

Requirements

  • Located in Latin America (LATAM) or occasionally in Europe
  • Strong and reliable internet connection
  • Advanced English level (C1 or C2)
  • 2 to 4+ years of experience as an Executive Assistant, Virtual Assistant, or in administrative support for C-level executives, founders, or business owners
  • A track record as a strong performer: proactive, resourceful, and able to work independently with minimal supervision
  • Exceptional organizational and time management skills, with the ability to juggle competing priorities
  • Excellent written and verbal communication skills
  • High level of discretion and professionalism when handling confidential information
  • Proficiency with productivity tools such as Google Workspace, Microsoft 365, Asana, Notion, Slack, or Zoom
  • Experience supporting executives across different industries is welcome — industry-specific experience is not required
  • Positive, service-oriented attitude and a genuine desire to make your executive's life easier
  • Fluency in additional languages is a strong plus

  • Partner directly with U.S.-based executives and founders and make a visible impact every day
  • Exposure to different industries and business models that grow your skill set

  • Access to private healthcare contribution programs
  • Paid time off is aligned with both U.S. and local holidays, depending on the company
  • Ongoing professional development opportunities
  • Be part of a collaborative community that values excellence, integrity, and growth

Overview

Our client is a small, fast-moving legal-tech startup transforming estate planning for attorneys. Their platform streamlines client information intake, automating manual work and giving law firms a smoother, more collaborative way to serve their clients.

Your Role

This is a wide-ranging Executive Assistant seat supporting the CEO across both business and personal logistics. The company needs someone who anticipates what's coming, juggles competing priorities without dropping the ball, and takes things off the CEO's plate before they become urgent — not after. The CEO wants a thinking partner, not just a task-taker: someone who sees an email and drafts the reply (with 2-3 options and a recommendation) rather than asking how to respond.

You’ll:

  • Own conference prep and logistics start to finish — coordination with organizers, booth/furniture rentals, shipping and materials, and flights/hotels for the CEO and travel companions (roughly 10-12 conferences a year, clustered Sept-Oct and early in the year)

  • Handle outbound logistics calls — vendors, hotels, airlines, conference organizers (not client-facing calls with the company's law firm customers)

  • Act as the liaison between the CEO and internal/external stakeholders (vendors, partners, the household manager for in-person needs), keeping communication timely, professional, and diplomatic

  • Take on business admin (purchasing, record-keeping) and personal/household logistics (scheduling car service, appointments, coordinating with the household manager) so both sides of the CEO's life stay covered

  • Spot repetitive work and help automate or systematize it rather than just repeating it each time

  • Step into special projects and research as they come up — using AI tools to investigate and come back with findings and a recommendation, not just questions

  • Handle confidential information with airtight discretion

You Bring:

  • Proven experience as an Executive Assistant, or strong related experience paired with sharp tech-savviness — skills and adaptability matter more than years in the EA title specifically

  • Real travel-planning chops — comfortable with airlines, hotels, points/rewards programs, and complex itineraries

  • Sharp organizational and time-management skills with genuine attention to detail (time zone accuracy is non-negotiable)

  • A proactive, flexible mindset — you spot what's needed, propose a solution, and handle it before it's urgent, rather than just categorizing or flagging it

  • Comfort using AI tools to research and solve new problems independently

  • Strong written and verbal communication, with a diplomatic, professional tone for external-facing interactions

  • Comfort with modern productivity and project management tools (Google Workspace and similar)

What’s Offered:

  • Competitive compensation based on experience and 15 days PTO

  • Full-time role with US Time overlap

  • 100% remote (LATAM-based candidates)

  • High-trust partnership with a high-performing founder

  • Direct impact on executive performance and company operations

Interview Process:

Targeted Assessment – Focused on real EA scenarios, Notion, and AI usage

Company: BSD Property Management

Location: Remote

Position: Full-time

Schedule: Flexible, with agreed availability for timely responses and coordination

About the opportunity

BSD Property Management is a growing property management business supporting short-term rentals, long-term rentals, maintenance and renovation projects.

We are looking for an organized, dependable Virtual Assistant to help coordinate daily operations as the business expands beyond what the owner can manage alone.

This is an opportunity to learn multiple areas of a business, develop your skills and take on increasing responsibility. You will work with the owner and an operations consultant, receive training and gradually take ownership of clearly defined tasks.

Your work will help us provide quality accommodations, keep properties maintained, support renovation crews and maintain accurate operating records.

Responsibilities

Responsibilities will expand gradually based on your training, skills and performance.

Rental listings and applicant support

  • Create and update approved rental listings.
  • Track inquiries, applicants, appointments and follow-up.
  • Gather information for screening and lease preparation.
  • Keep property, tenant and vacancy records organized.

Short-term rental and guest support

  • Monitor guest inquiries and respond using approved information and guidelines.
  • Help coordinate reservations, check-in information and guest requests.
  • Flag booking exceptions, discounts and issues requiring approval.
  • Coordinate cleaning schedules and follow up on readiness checks.

Maintenance and construction coordination

  • Log maintenance requests, photos and reported property issues.
  • Coordinate approved appointments with cleaners, maintenance workers and contractors.
  • Track materials, schedules, outstanding tasks and progress updates.
  • Follow up on completion and keep management informed about delays.

Basic bookkeeping and administrative support

  • Organize receipts, invoices and financial records.
  • Help categorize transactions by property using established instructions.
  • Track outstanding information and prepare basic reports for review.
  • Maintain calendars, task lists, shared folders and operating procedures.

Advertising and marketing support

  • Help update rental advertising and social media.
  • Support approved direct-booking promotions.
  • Suggest practical ways to improve organization, communication and follow-through.

Qualifications

  • Strong written and spoken English.
  • Excellent organization, attention to detail and follow-through.
  • Professional communication with guests, applicants and service providers.
  • Comfort learning software and following documented procedures.
  • Ability to recognize missing information and ask questions.
  • Reliable internet, a computer and a suitable remote workspace.

Experience in virtual assistance, property management, customer service, rental administration or basic bookkeeping is helpful.

Experience with Hostaway, DoorLoop, Airbnb, Google Drive, spreadsheets or social media is a plus. You do not need to be an expert in every system; willingness and ability to learn matter.

Training and growth

You will begin with a manageable set of responsibilities and receive guidance as you learn the business. As you demonstrate accuracy, reliability and sound judgment, you can take ownership of additional tasks and help improve our processes.

This role coordinates administrative work remotely. Local staff and contractors perform physical property work, while designated decision-makers approve spending, lease terms and other exceptions.

Schedule and compensation

This is a full-time remote position. Hours are flexible, but guest inquiries, appointments and operational deadlines require timely attention. Working hours, response expectations and necessary time-zone overlap will be agreed before you start. Flexible scheduling does not mean continuous availability.

Executive Assistant (Operations and Automation)
LatAm
Remote

About Our Client

Our client is the founder of a fast-moving GovTech startup building modern permitting and planning tools for city and county governments. They are looking for a proactive, versatile operator to support a wide range of operational, administrative, and strategic tasks across finance, compliance, documentation, automation, and sales support.

About the Role

Our client is looking for an Executive Assistant who is constantly looking for opportunities to optimize how the founder and the company operate, not someone who waits for tasks to be assigned. If you see a better way to do something, you flag it and fix it.

This is not a traditional EA role. You will handle everything from paying bills and managing vendor relationships to building automations, preparing RFPs, and helping the company show up well at conferences and sales presentations. If you are comfortable in tools like Notion, can build automations to reduce manual work, and thrive in a startup environment where the scope evolves quickly, this role is a strong fit.

Responsibilities

Finance and Compliance Operations

  • Pay bills and manage recurring financial obligations on time and accurately
  • Handle state registrations as the company hires across the US, ensuring compliance in each new state
  • Oversee vendor relationships including tax accounting and other external service providers
  • Coordinate with vendors and service providers proactively to keep contracts, renewals, and deliverables on track

Documentation and Knowledge Management

  • Transfer and organize information from PDFs and other sources into Notion
  • Maintain clean, organized, and accessible documentation across company systems
  • Prepare RFPs, written statements, and other formal documents as needed
  • Draft professional emails and correspondence on behalf of the founder as needed

Automation and Process Optimization

  • Build automations and workflows to reduce manual work and improve operational efficiency across the business
  • Proactively identify opportunities to optimize how the founder and company operate and implement improvements without being asked
  • Stay current on tools and workflows that could make the team faster and more effective

Sales and Conference Support

  • Prepare materials and logistics for sales presentations
  • Support conference strategy including identifying relevant events, drafting proposals, and coordinating logistics
  • Help organize the team around specific events and ensure everything is ready ahead of time

What We're Looking For

  • Proven experience as an Executive Assistant, Chief of Staff, or Operations Associate supporting a founder or senior executive at a startup or early-stage company
  • Strong organizational skills with the ability to manage multiple operational workstreams simultaneously
  • Comfortable building automations and workflows using AI tools or no-code platforms to reduce manual work
  • Proficient in Notion and comfortable organizing and maintaining documentation across company systems
  • Strong written English communication skills with the ability to draft professional correspondence, RFPs, and formal documents
  • Proactive and self-directed with a bias toward identifying and fixing inefficiencies rather than waiting to be asked
  • Comfortable working independently across compliance, finance coordination, vendor management, and administrative tasks
  • Strong overlap with US Pacific Time hours

Nice to Have

  • Experience with US state registration or multi-state compliance for a remote-first company
  • Background supporting a B2B SaaS or GovTech startup
  • Familiarity with tools such as Claude, Zapier, Make, or similar automation platforms
  • Experience supporting sales processes or conference logistics
  • Prior experience managing vendor relationships and coordinating with external service providers

Work Schedule

  • 100% remote setup so you can work wherever you're most productive
  • This position operates on a full-time basis, with dedicated hours to ensure alignment with the team and delivery of quality work
  • Strong overlap with US Pacific Time hours is required

About ElevenLabs

ElevenLabs is an AI research and product company transforming how we interact with technology.

We launched in January 2023 with the first human-like AI voice model. Today, we serve millions of users and thousands of businesses - from fast-growing startups to large enterprises like Deutsche Telekom and Meta. Our investors are some of the world's most prominent, including Andreessen Horowitz, ICONIQ Growth and Sequoia. We've raised $781M in funding and our last valuation was $11B - multiples of 11, always.

We have expanded from voice into three main platforms:

  • ElevenAgents enables businesses to deliver seamless and intelligent customer experiences, with the integrations, testing, monitoring, and reliability necessary to deploy voice and chat agents at scale.

  • ElevenCreative empowers creators and marketers to generate and edit speech, music, image, and video across 70+ languages.

  • ElevenAPI gives developers access to our leading AI audio foundational models.

Everything we do is the result of the creativity and commitment of our team - builders doing the best work of their lives. We are researchers, engineers, and operators. IOI medalists and ex-founders. If you want to work hard and create lasting positive impact, we want to hear from you.

How we work

  • High-velocity: Rapid experimentation, lean autonomous teams, and minimal bureaucracy.

  • Impact not job titles: We don’t have job titles. Instead, it’s about the impact you have. No task is above or beneath you.

  • AI first: We use AI to move faster with higher-quality results. We do this across the whole company—from engineering to growth to operations.

  • Excellence everywhere: Everything we do should match the quality of our AI models.

  • Global team: We prioritize your talent, not your location.

What we offer

  • Innovative culture: You’ll be part of a generational opportunity to define the trajectory of AI, surrounded by a team pushing the boundaries of what’s possible.

  • Growth paths: Joining ElevenLabs means joining a dynamic team with countless opportunities to drive impact - beyond your immediate role and responsibilities.

  • Learning & development: ElevenLabs proactively supports professional development through an annual discretionary stipend.

  • Social travel: We also provide an annual discretionary stipend to meet up with colleagues each year, however you choose.

  • Annual company offsite: Each year, we bring the entire team together in a new location - past offsites have included Croatia and Italy.

  • Co-working: If you’re not located near one of our main hubs, we offer a monthly co-working stipend.

About the role

ElevenLabs moves fast - and behind every high-performing leader is someone who makes sure nothing slips. This is a high-trust, hands-on role for someone who thrives in dynamic environments, holds themselves to a high standard, and takes genuine pride in making their lead's life easier - down to the small, considered details that others overlook.

You'll be the operational backbone for senior leadership - managing calendars, coordinating across time zones, handling logistics, and owning the day-to-day administrative tasks that let leadership focus on what matters most.

In this role, you will:

  • Own calendars and time allocation for revenue leadership team, making trade-off calls independently against stated priorities

  • Prepare executives for every meeting: pre-reads, context, and the decision needed - including board and investor sessions

  • Capture actions out of meetings and chase them to completion

  • Triage executive inboxes and draft correspondence

  • Automate the mechanical parts of the role - briefing prep, triage, scheduling, recurring reporting

  • Run discrete projects: board logistics, executive travel, offsites, and the revenue team's operating cadence

Requirements

  • Experience supporting multiple senior executives in a high-velocity environment

  • Strong organisational skills with the ability to manage competing priorities, shifting timelines, and multiple stakeholders

  • Exceptional written and verbal communication skills, with the ability to communicate effectively with a wide range of stakeholders, from senior executives and partners to vendors and office guests

  • Proven judgment and problem-solving skills

  • Fluency with AI tools and a track record of automating your own work - come ready to show what you've built

  • High emotional intelligence and discretion - trusted with sensitive information

  • Fluency in English

We are an equal opportunity employer and do not discriminate on the basis of race, religion, national origin, gender, sexual orientation, age, veteran status, disability or other legally protected statuses.

We're a remote-first team

Senior Marketing Coordinator

Full-time · Contractor · Remote · Monthly salary: $3.000 to $4.000 USD

About the role

You'll run the content engine behind Moj Mahdara and her companies. You'll take founder conversations, podcasts and ideas and turn them into social-first content that people actually stop for: Reels, TikToks, carousels, Substack posts. You'll also plan and run influencer and talent campaigns. This is a hands-on role for someone who lives in the feed. It is not a corporate marketing job.

About us

Trolley is Moj Mahdara's operating platform for founder-led companies, bringing creative and operations together in one place. Moj is also co-founder of Kinship Ventures (with Gwyneth Paltrow), Co-CEO of goop and the former CEO of Beautycon, so your work will reach across all three brands. We're a small, fast-moving remote team.

What you'll do

  • Create short-form video and social content yourself: hooks, scripts, picking the clips, finished posts
  • Plan and run influencer and talent campaigns, from the shortlist and concept through to launch
  • Write in Moj's voice across Substack, newsletters, LinkedIn and captions, plus decks and outreach copy
  • Turn podcasts, events and meetings into native content for each platform
  • Own the content calendar in Notion, and brief and direct our designers and video editors
  • Track what performs, spot trends early and adjust what we make

Who you are

  • 5+ years in social, content or influencer marketing, ideally with talent, creators, entertainment, beauty or lifestyle brands
  • Social-native: you've personally made short-form content that performed, and you can show it
  • A strong writer in fluent English who can write as someone else, without it sounding AI-generated
  • AI-native: you use tools like Claude, ChatGPT and AI video tools every day, and your own judgment shapes the final work
  • Organized and self-directed: comfortable in Notion, Canva or Figma, and you finish what you start
  • Available for at least 4 hours of overlap with Pacific Time (9am to 1pm PT)

Executive Assistant to the CEO| Legal-Tech Startup | Remote

Our client is a small, fast-moving legal-tech startup transforming estate planning for attorneys. Their platform streamlines client information intake, automating manual work and giving law firms a smoother, more collaborative way to serve their clients.

You’ll:

  • Own the CEO's inbox — triage, prioritize, draft responses, and make sure what matters gets answered on time; clear out the rest so it's not taking up headspace

  • Run the calendar with sharp attention to time zones — schedule meetings, resolve conflicts, and keep it moving without constant check-ins

  • Handle all travel end-to-end — flights, hotels, cars, points/rewards optimization, and fast rebooking when plans change

Rockstar is hiring an AI‑Supercharged Executive Assistant to support U.S.-based healthcare practice owners on a full‑time remote basis. This is a new role at Rockstar. It is built for an experienced executive assistant who wants to run AI inside a real business, and who knows that the tool is only as good as the person operating it.

In this role, you will own the owner's calendar, inbox, tasks, and daily follow‑through, working in a Claude AI environment built specifically for that practice. Claude drafts. You review, decide, and send. The practice owner never touches the technology. You will get structured Claude training from your first week, weekly coaching with Rockstar's role lead, and a community of other EAs doing the same work.

Key Responsibilities

  • Manage the owner's calendar with consistent color coding, time blocking, and protected focus time
  • Confirm every meeting's time, attendees, link, and purpose at least 24 hours in advance
  • Use Claude's calendar connector to prepare daily and weekly calendar summaries, then check them against the real calendar before they go out
  • Coordinate personal appointments and travel where the placement includes it
  • Triage the inbox daily: handle routine items, draft what needs the owner's voice, and escape what needs their decision
  • Draft outbound email through Claude in the practice's brand voice and review every draft before sending
  • Follow a defined escalation matrix with set response windows for urgent, same‑day, and routine items
  • Acknowledge email within 4 business hours and flag anything urgent to the owner within 30 minutes
  • Keep one task tracker current every day, covering every commitment, owner, and deadline
  • Coordinate projects across the owner, staff, and vendors, breaking them into clear steps and tracking milestones through to completion
  • Build meeting agendas in Claude from what's open on the tracker
  • Create presentations and slide decks for the owner's meetings, trainings, and partner conversations
  • Turn meeting notetaker transcripts into same‑day recaps with action items assigned to the right people
  • Deliver a Daily Summary and Weekly Summary so the owner never has to ask what happened
  • Pull reports from the practice's CRM, EMR, or spreadsheets and spot‑check the numbers before they go anywhere
  • Follow up with patients and clients after interactions and close the loop
  • Support referrals, waitlists, and scheduling‑related workflows
  • Handle invoices, PTO tracking, vendor coordination, and compliance reminders
  • Write and maintain SOPs for recurring work
  • For practices that include it, monitor social platforms and Google and Yelp reviews, and draft responses for the owner's approval
  • Keep the practice's brand voice file current as the practice changes
  • Bring real drafts to weekly coaching calls and refine the environment based on what's working
  • Maintain strict HIPAA compliance and patient confidentiality at all times. Claude never contacts a patient or staff member without your review

Requirements

  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role supporting a business owner or leader
  • Hands‑on experience using AI tools for real work
  • Strong project coordination and task management skills, with a track record of moving work from assigned to done
  • Excellent time management and the ability to prioritize competing deadlines without dropping anything
  • Strong presentation skills, including building clear, polished slide decks
  • Excellent written English. You’ll review and send communication in a business owner's voice every day
  • Strong judgment about what to handle on your own and what to escape
  • Comfort working in Google Workspace or Microsoft 365
  • Ability to work independently and keep steady communication with the practice owner
  • Willingness to complete Rockstar's confidentiality and compliance training before your start date
  • Reliable home office setup with a stable internet connection suitable for HIPAA‑compliant remote work

What We Look For

  • Judgment: you know what to handle, what to draft, and what to escape, and you don't escape out of caution
  • Follow‑through: if it's not written down and tracked, it isn't handled. You close every loop
  • Discretion: you handle the owner's information and patients' information with care, and only share it with the people who need it
  • Curiosity: you want to get better at running AI, and you bring real drafts and real questions to coaching every week
  • Ownership: you never send a draft you haven't read. Claude makes you faster. You make it correct

Benefits

  • Competitive salary based on experience
  • Structured Claude training, including connectors, reporting, meeting summaries, and agenda building
  • Weekly one‑on‑one coaching with Rockstar's role lead
  • A private community of EAs in this role to share what's working and solve problems together
