Position Overview:

Join a premier luxury travel agency as an Assistant Travel Coordinator! This is a 100% remote, part-time (20 hours a week) role with the potential to grow into a full-time position. In this role, you’ll support travel operations, coordinate with suppliers, and provide crucial administrative, back-office, and social media management support. You'll help design personalized travel experiences, contribute to operational efficiency, and have the chance to bring creative ideas to enhance our online presence. The ideal candidate is proactive, detail-oriented, tech-savvy, and excited to help grow the agency's brand through engaging social media content.


As the Assistant Travel Coordinator, your diverse responsibilities will include:


Travel Coordination & Support:

  • Prepare and create beautiful, accurate itineraries using the Axus Travel App, following company formatting guidelines.
  • Support the upcoming transition to Travefy, ensuring a smooth switch from Axus and learning and mastering the new software through online training modules.
  • Research destinations, hotels, and service providers to enhance client itineraries.
  • Maintain and organize the resource library in Axus, ensuring it’s up-to-date and ready for the transition to Travefy.
  • Assist with booking and confirming travel arrangements with suppliers, ensuring all details are accurate.
  • Gather and maintain client profile details, including passport expiration, Global Entry, loyalty accounts, and dietary preferences.
  • Research and confirm entry requirements, accommodations, and service providers to ensure a seamless trip experience for clients.
  • Handle concierge requests like dining reservations, spa appointments, and personalized tours.
  • Communicate VIP requests and special needs to hotels and service providers.

Administrative & Back Office

  • To improve efficiency, develop and maintain SOPs for internal processes.
  • Organize and manage documents within cloud storage (e.g., Google Drive) to ensure accessibility and proper organization.
  • Design and create training documents for onboarding new staff.
  • Assist with scheduling, organizing meetings, and coordinating supplier calls.
  • Maintain shared calendars and track client-related information like passport expiration dates and important anniversaries.
  • Provide general administrative support, including email management, document organization, and special projects.

Social Media Management:

  • Support in managing social media accounts (e.g., Instagram, Website, Blog) by creating and scheduling engaging and creative posts that reflect the brand's style and luxury experience.
  • Follow up on social media activity and respond to comments, inquiries, and messages.
  • Collaborate with the lead travel advisor to bring fresh ideas for content, promotions, and ways to engage the audience.


Requirements: 

  • Strong, reliable internet connection.
  • Advanced level of English proficiency.
  • Prior experience in the travel industry is preferred, with a strong preference for candidates who have first-hand travel experience.
  • 1-2 years of experience in marketing, especially in social media management, with a proven ability to create engaging content and manage online platforms.
  • A strong sense of curiosity and a desire to celebrate the diverse beauty of the world, with a passion for sustainability and responsible travel.
  • Passionate about providing exceptional customer service and delivering outstanding support to clients.
  • A proven track record of handling multiple tasks at once, with an ability to meet deadlines and adapt to changing priorities.
  • Excellent attention to detail, particularly when managing complex logistical elements of bespoke travel itineraries.
  • High-level written and verbal communication skills are essential, with the ability to write clearly and persuasively in the company’s voice.
  • A solutions-oriented, positive attitude is a must, along with the ability to work well in a team environment.
  • Tech-savvy, with an interest in exploring and adopting new tools (e.g., Travefy, Axus, or similar travel software)
  • Proficiency with Microsoft Office and other productivity tools (e.g., Google Suite, Project Management tools) is essential.
