Position Overview
We’re seeking a highly organized, detail-oriented, and service-driven Luxury Travel & Executive Support Coordinator to join the team of one of our top-tier luxury travel clients, recognized by Forbes and industry leaders for delivering white-glove, customized experiences to high-net-worth travelers.
This is a unique hybrid role that combines the logistics and client service of an Assistant Travel Coordinator with the precision, proactivity, and reliability of an Executive Assistant. You’ll support a high-performing founder and her close-knit team by coordinating custom itineraries, managing inboxes, scheduling, following up with vendors and clients, and keeping operations running smoothly behind the scenes.

Key Responsibilities:
- Assist with the creation and refinement of luxury travel itineraries, including hotel bookings, transfers, dining reservations, spa appointments, and experience coordination
- Manage executive inbox and calendar: flag priorities, respond to scheduling requests, and ensure follow-through on action items
- Monitor timelines and deadlines for active client trips, ensuring all logistics are confirmed, accurate, and on-brand
- Communicate professionally with suppliers, hotel partners, and clients via email and phone
- Use internal tools (e.g. AXUS, Travefy, Monday.com, Google Workspace, TravelJoy, Slack) to manage trip data, documents, and project status
- Anticipate needs by reviewing travel details and catching any inconsistencies (e.g., missing flights, transfer gaps, incorrect times)
- Perform light personal assistant tasks as needed (e.g. gift ordering, research, reminders)
- Provide operational support to the team — keep shared files, tools, and checklists updated and well-organized
- Coordinate special requests from UHNW clients, ensuring top-level service and discretion at all times
Required Skills & Qualifications:
- 2–4 years of experience in luxury travel coordination, hospitality, executive assistance, or related field
- Excellent written and verbal communication in English (C1 or C2 required)
- High attention to detail and strong follow-through, able to spot errors and gaps others may miss
- Strong organizational and multitasking skills; thrives in a fast-paced, remote work environment
- Tech-savvy and proactive with tools like AXUS (main platform), Monday.com, Google Suite, Slack, and Travefy
- Comfortable working in U.S. time zones (Central or Eastern preferred)
- Discreet, professional, and client-service oriented
- Passion for travel, high-end experiences, and hospitality
- Familiarity with integrating or using AI tools to streamline workflows is a plus
