Executive Support: Manage the day-to-day schedules, meetings, and travel for executives, prioritizing tasks and adjusting schedules as needed.
Communications: Serve as a point of contact between executives, team members, and external partners. Draft and manage emails, reports, and other correspondence.
Meeting Coordination: Plan and coordinate meetings, conferences, and presentations, including preparing agendas, gathering materials, and taking minutes.
Travel & Expense Management: Organize complex domestic and international travel plans, prepare itineraries, and process expense reports.
Document Management: Organize, maintain, and retrieve key documents and files, ensuring confidentiality and security.
Office Management (if applicable): Assist in office operations, including supplies ordering, event planning, and liaising with building management.
Special Projects: Assist with special projects as needed, supporting initiatives to improve efficiency and streamline administrative tasks.
Requirements:
Experience: 3+ years of experience in an administrative or executive support role, preferably in a fast-paced environment.
Communication Skills: Excellent written and verbal communication skills, with the ability to interact professionally with all levels of staff and external contacts.
Organizational Skills: Highly organized with strong attention to detail, capable of managing multiple tasks and priorities.
Tech-Savvy: Proficiency in Microsoft Office Suite, Google Workspace, and experience with tools like Zoom, Slack, and project management software (e.g., Asana, Trello).
Discretion: Demonstrated ability to handle confidential information with discretion and professionalism.
Problem-Solver: Proactive approach to identifying issues and finding effective solutions.
