Responsibilities:

  • Proactively assist with client outreach, manage and organize advisors' schedules, ensuring efficient time management.
  • Utilize DocuSign for document handling and ensure all records are up-to-date within CRM systems.
  • Support client onboarding processes, handle administrative tasks, and provide exceptional client service.
  • Perform a variety of general office administration duties to ensure smooth office operations.
  • Assist advisors with prospecting activities, lead management, and client submissions to support business development efforts.
  • Manage and organize internal documents, promotional materials, and digital folder structures.


Requirements

  • 2+ years experience as an Executive Assistant or similar role preferably in a start-up company.
  • Advanced proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills with the ability to prioritize tasks and excellent verbal and written communication skills.
  • Ability to work independently, manage multiple tasks simultaneously, and adapt to changing priorities.
  • Experience working with CRM systems and maintaining accurate and up-to-date client information.
  • Ability to handle sensitive and confidential information with discretion.
